We are currently recruiting for an administrative assistant to be based at our Morley office. The role will involve reception and administration duties for  wills and probate matters.

Previous experience is not essential and we are happy to train and develop someone with little or no legal or office experience providing there is a willingness and ability to learn coupled with a strong work ethic.  Although this is not a secretarial vacancy, we will consider applicants with secretarial experience who are happy to undertake reception and administration duties and have a hands-on approach to work.

The successful applicant will have excellent client care skills and be able to deal in a friendly but professional way with clients and other visitors to the office.  They will be able to communicate clearly, both verbally and in writing, and will have an excellent telephone manner.  Accuracy and attention to detail are essential as is the ability to work quickly and efficiently to ensure deadlines are met and our excellent client care standards are maintained.

KEY TASKS

  • Reception duties.
  • Dealing with a high volume of telephone calls (inward and outward).
  • Administrative and secretarial support.
  • Producing documents from the Case Management System.
  • Keeping clients and other parties updated with progress of matters.
  • Scanning, copying and filing documents.
  • Assisting lawyers with matters at all stages of the transaction, from file opening to archiving in accordance with office and accounts procedures.

KEY SKILLS – ESSENTIAL

  • Professional and friendly client care.
  • Clear communication to deal with clients and other parties face to face and by telephone.
  • Excellent telephone manner.
  • Good written communication to produce clear and accurate letters and legal documents.
  • Confident IT skills.
  • Ability to learn quickly.
  • Ability to work accurately in accordance with procedures and processes.
  • Ability to organise and prioritise work, under supervision, to meet clients’ expectations and matter deadlines.
  • Ability to work under pressure
  • Ability to work on own initiative as appropriate and a member of a team.
  • Flexible and ‘can do’ attitude with a willingness to learn.

EXPERIENCE

  • Previous reception, legal or office experience is not required, however is advantageous.
