Role Purpose

The Assistant Internal Auditor will support the Internal Auditor and the wider Residential & New Build Property team in delivering strong lender compliance, high‑quality case file reviews, and consistent service standards. The role involves monitoring key platforms, preparing review documentation, identifying risks, and coordinating follow‑up actions to ensure the firm meets regulatory, operational, and lender requirements.

 

Key Responsibilities

  • Lender Platform Management
    Monitor Lender Exchange and LMS queues, identify discrepancies, upload/download required evidence, and maintain accurate logs to support correct charge registration and full compliance with lender instructions.
  • HM Land Registry Portal Monitoring
    Track activity within the Land Registry portal, ensuring timely download and review of documents such as Title Information Documents. Highlight potential errors and refer issues to the Internal Auditor for independent review and resolution.
  • Registration and Compliance Checks
    Review Title Information Documents to flag inconsistencies, complete scheduled spot checks against lender standards, accurately record results, and escalate any variances for further action.
  • Issue Tracking & Resolution Support
    Assist with logging compliance risks and issues, allocating follow‑up actions to the appropriate internal teams, and ensuring these are resolved within agreed timescales.
  • Archiving & File Closure Support
    Support fee‑earning and administrative teams with residual balance management and Lexel‑compliant file‑closing workflows, ensuring files are archived efficiently and accurately.
  • Stakeholder Liaison
    Act as a point of contact between fee earners, Post Completion, and other internal teams, providing timely, clear, and helpful updates to support smooth case progression.
  • Knowledge & Process Development
    Maintain up‑to‑date knowledge of relevant legal and administrative procedures, contribute to updating team checklists and processes, and suggest improvements to enhance efficiency and consistency.
  • Health & Safety & General Duties
    Contribute to maintaining a safe working environment and undertake reasonable additional tasks aligned with team and business objectives.

 

Person Specification

Essential Skills & Competencies

  • Strong written and verbal communication skills with good numeracy and literacy.
  • Confident in producing concise summaries and documenting outcomes clearly.
  • Excellent attention to detail with the ability to work accurately under pressure.
  • Strong organisational skills with the ability to prioritise workloads effectively.
  • A proactive, team‑focused approach and confidence in handling enquiries professionally.
  • Competent IT skills, particularly in Microsoft Word and Excel.

Experience

  • Experience within a Post Completion or Conveyancing Assistant role (or similar property‑based administrative environment) is essential.
